How to make a professional invoice as a freelancer in India

The short answer

A professional freelance invoice in India needs: your name/business name and address, a unique sequential invoice number, issue and due dates, the client's details, line items with clear descriptions and amounts, GST number and tax breakdown if you're GST-registered, payment terms (net-7 or net-15 beat net-30 for freelancers), and your bank/UPI details. Send it as a PDF, not an editable document.

The fields that prevent payment delays

  • Sequential invoice numbers (INV-0042) — required for clean books and GST filings.
  • A due date, not just 'payable on receipt' — ambiguity always resolves in the client's favor.
  • Line items that mirror the proposal language, so nothing looks new.
  • UPI ID plus bank details — the easier payment is, the faster it arrives.

Do freelancers in India need to charge GST?

Registration becomes mandatory once annual turnover crosses the service threshold (₹20 lakh for most states). Below it, you invoice without GST; above it, you add 18% on most services and file returns. Export-of-service clients (foreign companies paying in foreign currency) can qualify as zero-rated — talk to a CA once foreign income starts.

Tools: subscription apps vs a one-time generator

Subscription invoicing apps make sense past ~20 invoices a month. Below that, a local generator does the job with zero recurring cost: Invoice Studio creates polished PDF invoices in your browser — line items, GST-friendly tax rows, ₹ and $ currencies — and your client data never leaves your machine.
